Event organization

One week before the workshop

  • Copy the CodiMD template, remove the episode section content and set editing rights to Freely
  • Copy feedback form templates and check access permissions
  • Set up a Slack channel, or equivalent
  • Schedule the videoconferencing calls for Part One and Part Two
  • Email learners one week before the workshop
    • Share a calendar invitation for Part One and Part Two with links to the videoconference call, CodiMD document and Slack channel
  • Prepare the Community Showcase Hub
    • Add learners to GitHub team and grant them Owner status
    • Grant Admin privileges to learners on the Community Showcase Hub

Deliver Part One

  • Host Part One of the workshop
    • Consider recording your workshop so that learners can refer back to this for later viewing

After Part One

  • Populate the CodiMD for the self-guided study

Deliver Part Two

  • Host Part Two of the workshop
    • Consider recording your workshop so that learners can refer back to this for later viewing

After Part Two

  • Email learners two days after the workshop to remind them to complete feedback and follow up on micro-grant status
  • Restore the Community Showcase Hub
    • Remove Owner status from the GitHub team
    • Remove Admin privileges from learners on the Community Showcase Hub
  • Evaluate feedback

Dear Catalyst communities,

We are delighted to announce the first Hub Champion Training Workshop (English Version) and invite you to register your interest. This lesson is aimed at Hub Champions responsible for administering their community’s 2i2c-managed JupyterHubs in the cloud. Workshop attendees will learn the fundamentals of administering their hub and providing user support to their research and education communities.

Training is open to one Hub Champion per community and will be delivered over two synchronous workshops, each one hour in length a week apart. The week between sessions will be dedicated to self-guided study with asynchronous support provided by the instructors. The dates scheduled for the two synchronous workshops are

Date – Part One: 22 April 2024
Time – Part One: 13:00 - 14:00 UTC

Date – Part Two: 29 April 2024
Time – Part Two: 13:00 - 14:00 UTC

The lesson instructor will be me, Jenny Wong (2i2c), and the lesson helper will be Toby Hodges (The Carpentries, Cc'd). Participants are required to know basic Git, such as pushing and pulling to a remote GitHub repository.

More details regarding micro-grants and honoraria can be found in the PDF attachment. Please share this message with your community’s Hub Champion if they do not receive this email.

We plan to deliver a Spanish version of the workshop in June 2024. Dates and times are to be determined.

Email reminders sent by Angelique and Sabrina for micro-grant applications

Dear Catalyst communities,

A gentle reminder that the registration deadline of 29 March 2024 is approaching to apply for micro-grants for the Hub Champion Training.

Registration is available here. If you wish to apply for the micro-grant then please apply by 29 March 2024 to allow enough time for you to receive payment before the training, otherwise, registration is open until 19 April 2024. More details regarding micro-grants and honoraria can be found in the PDF attachment. Please share this message with your community’s Hub Champion if they do not receive this email.

We plan to deliver a Spanish version of the workshop in June 2024 with another opportunity to apply for micro-grants for this training. Dates and times are to be determined.

Micro-grant deadline extended to 5 April.

Dear all,

we would like to inform you that the application deadline for micro-grants has been extended to Friday 5 April 2024. Note that payments for applications received during this extension period may arrive after the training event. Please see the Micro-grant and Honoraria workflows PDF attached in the previous email for further details.

Otherwise, general registration for the Hub Champion Training is open until Friday 19 April 2024.

1/11 participants has managed to log into the Community Showcase hub and gain admin privileges. I think we can only fully prepare the hub for all participants only after Part One of the workshop.

Invited @tobyhodges to a Tech Check 20 minutes before the first workshop.
